The personal information that you are asked to provide, and the reasons why you are asked to provide it, will be made clear to you at the point we ask you to provide your personal information.

Log Files

HQ NZ follows a standard procedure of using log files. These files log visitors when they visit websites. All hosting companies do this and a part of hosting services’ analytics. The information collected by log files include internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamp, referring/exit pages, and possibly the number of clicks. These are not linked to any information that is personally identifiable. The purpose of the information is for analyzing trends, administering the site, tracking users’ movement on the website, and gathering demographic information.

Cookies and Web Beacons
Like any other website, HQ NZ uses ‘cookies’. These cookies are used to store information including visitors’ preferences, and the pages on the website that the visitor accessed or visited. The information is used to optimize the users’ experience by customizing our web page content based on visitors’ browser type and/or other information.

Third-party ad servers or ad networks uses technologies like cookies, JavaScript, or Web Beacons that are used in their respective advertisements and links that appear on HQ NZ, which are sent directly to users’ browser. The right to access – You have the right to request copies of your personal data. We may charge you a small fee for this service.

The right to rectification – You have the right to request that we correct any information you believe is inaccurate. You also have the right to request that we complete the information you believe is incomplete.

The right to erasure – You have the right to request that we erase your personal data, under certain conditions.

The right to restrict processing – You have the right to request that we restrict the processing of your personal data, under certain conditions.

The right to object to processing – You have the right to object to our processing of your personal data, under certain conditions.

Children’s Information
Another part of our priority is adding protection for children while using the internet. We encourage parents and guardians to observe, participate in, and/or monitor and guide their online activity.

HQ NZ does not knowingly collect any Personal Identifiable Information from children under the age of 13. If you think that your child provided this kind of information on our website, we strongly encourage you to contact us immediately and we will do our best efforts to promptly remove such information from our records.

Terms and Conditions

Responsibility
HQ takes no responsibility for damage or loss of personal or company items before, during and after an event.

The client is financially liable for any damage caused through negligence to HQ or HQs contracted venues,operators and /or equipment.

Should HQ be unable to provide the services or facilities reserved due to circumstances beyond their control, no further claim other than an entitlement to a full refund of any moneys paid may be made.

Cancellation
Should the client cancel the Event or part Event:
(a) between 90-60 days prior to the event date, then HQ is entitled to 20% of the quoted event together with all other costs incurred that are associated with the event.
(b) between 60-30 days prior to the event date, then HQ is entitled to 50% of the quoted event together with all other costs incurred that are associated with the event.
(c) within 30 days of the event will require payment in full.

Numbers
A guaranteed minimum number of guests attending the event is required on confirmation with final numbers 7 days prior to the event. At the discretion of HQ final charges will be based on the number of people attending the event or the guaranteed number, which-ever is greater.

Should the group size change
(a) between 90-60 days prior to the event date, a reduction in numbers of 50% will not incur any charge
(b) between 60-30 days prior to the event date, a reduction in numbers of 20% will not incur any charge
(c) between 30 – 7 days prior to the event, a reduction in numbers of 10% will not incur any charge

The prices quoted are based on the number of people estimated by the client. Fixed group costs for events are included in prices quoted, therefore a change in numbers may result in an adjustment to the per person price.

Venues
HQ reserves the right to re-allocate venues due to circumstances beyond our control. In consultation with the client. Should final numbers change significantly from those advised at the time of reservation, we may recommend substituting a more appropriate venue.

Prices
Prices are current at the time of quotation, but are subject to change to meet costs set by suppliers. HQ will endeavour to notify the client of any changes to quoted prices as early as possible. Prices exclude any local or government taxes, credit card charges and agents commissions unless specifically stated otherwise in writing.

Payment Terms
The client agrees to pay invoices relating to the event quoted as follows:
(a) 20 % of the total account as a non refundable deposit at the time of confirmation
(b) A second payment of 70 % of the total account 14 days prior to the event.
(c) Confirmation within 30 days of the event shall require a deposit of 90%.
Account balances and any additional charges incurred during an event are to be paid within 7 days of the event. Interest of 10% will be applicable to outstanding accounts.

Beverage License
In some cases HQ must apply for a special license to serve alcohol. The client will be required to follow all reasonable directions given by HQ staff with regard to the terms and conditions applying to HQ’s liquor license.

Extended Hours
An additional labour charge will apply if the event continues after the agreed completion time.

Copyright
All information and services provided by HQ NZ Ltd is/are and remain the property of HQ NZ Ltd and is subject to copyright. All information in this document is confidential and may be legally privileged.

Disclaimer
Whilst HQ NZ Ltd exercises due care in providing all participants with safety instructions and equipment, and employs recognised risk management techniques in the delivery of this programme, HQ and individuals employed will not be liable for any injury, damage or loss which participants may sustain to themselves or their property during the time of the programme. The client is responsible to disclose all relevant information to HQ that may have an impact on participation. HQ also accepts no responsibility for the clients’ actions outside of the designated programme time.
